Privacy Policy

How NeighborKonnect collects, uses, shares, protects, and retains information for HOA and community association software.

1. What NeighborKonnect Does

NeighborKonnect provides software for homeowners associations, condominium associations, gated communities, property managers, boards, residents, vendors, and community staff. The platform helps communities manage communications, resident records, architectural requests, violations, documents, visitors, work orders, payments, access operations, and related HOA workflows.

When an HOA, COA, property manager, or community organization uses NeighborKonnect, that organization often decides what resident, property, and community information is added to the platform. In those cases, NeighborKonnect processes information to provide the contracted SaaS services.

2. Information We Collect

We may collect account and contact information such as names, email addresses, phone numbers, roles, usernames, and authentication details. We may also process HOA and property information such as community name, unit or lot identifiers, resident status, vehicle records, visitor details, architectural request materials, work order details, violation records, documents, messages, preferences, and support requests.

We collect usage, device, log, and security information when you access the platform, including IP address, browser or device type, pages or features used, timestamps, session information, error logs, audit events, and similar operational data. If payments, messaging, email, SMS, maps, analytics, storage, or identity services are used, third-party service providers may process limited information needed to deliver those services.

3. How We Use Information

We use information to provide, secure, support, maintain, improve, and administer the NeighborKonnect platform. This includes authenticating users, enforcing role-based access, showing tenant-scoped HOA data, routing resident requests, delivering messages, processing support inquiries, maintaining audit logs, detecting abuse, troubleshooting issues, and communicating about service updates.

We may use limited information from marketing or request-information forms to respond to inquiries, understand community needs, and follow up about NeighborKonnect. We do not use HOA resident records for unrelated third-party advertising.

4. How Information Is Shared

Information may be shared with the HOA, COA, management company, board, staff, residents, guards, vendors, or other authorized users according to the permissions configured for the community. Community administrators are responsible for deciding which users should access community data and for keeping their records accurate.

We may share information with service providers that help us operate the platform, such as hosting, storage, security, analytics, email, SMS, payment, customer support, and infrastructure providers. We may also disclose information when required by law, to protect rights and safety, to investigate abuse, in connection with a business transfer, or with your consent.

5. HOA Customer Data And Resident Requests

Some information in NeighborKonnect belongs to or is controlled by the community organization that uses the service. If you are a resident, owner, tenant, guest, vendor, or staff member and want to access, correct, or delete information maintained by your HOA or property manager, you may need to contact that organization directly.

NeighborKonnect will support reasonable customer instructions for correcting, exporting, deleting, or restricting community data when those instructions are consistent with the applicable agreement, law, audit needs, security requirements, and community governance obligations.

6. Communications And Preferences

The platform may send account, security, community, visitor, payment, operational, and support communications by email, in-app notification, push notification, phone, or SMS depending on the feature, user preference, and community configuration. Some service or security messages may be necessary to operate the platform.

You can use available preference tools, unsubscribe links, device settings, or SMS opt-out commands to manage certain communications. SMS-specific terms are available at /sms-terms.

7. Security And Retention

We use administrative, technical, and organizational safeguards designed to protect information, including encrypted transport, role-aware access controls, tenant boundaries, logging, and security monitoring. No system can be guaranteed to be completely secure, so users should protect their credentials and report suspected unauthorized access promptly.

We retain information for as long as needed to provide the service, comply with legal and accounting obligations, preserve audit records, resolve disputes, enforce agreements, and follow customer instructions. Retention periods may vary by feature, community configuration, and data type.

8. Children, Sensitive Information, And Community Records

NeighborKonnect is not directed to children under 13. Community administrators should avoid adding sensitive information unless it is necessary for legitimate HOA operations and permitted by applicable law and governing documents.

HOA records can include information that residents consider sensitive, including property, access, visitor, violation, payment, and communications data. Communities should configure access carefully and use the platform in a way that matches their governing documents and privacy obligations.

9. Privacy Rights And Contact

Depending on where you live, you may have rights to request access, correction, deletion, portability, restriction, or objection regarding certain personal information. These rights may be limited when information is controlled by your HOA, needed for legal compliance, or retained for security and audit purposes.

10. Changes To This Policy

We may update this Privacy Policy from time to time. If changes are material, we will take reasonable steps to notify customers or users through the platform, by email, or by posting an updated policy with a new effective date.
